Policies and Procedures
Shipped materials must be related to course requirements and not available electronically. Before requesting library materials, distance learning students must verify their status with the library by filling out our online .
A. Borrowing Books
- The loan period for distance learning students is 28 days.
- Graduate students may check out a maximum of 25 books; undergraduates may check out a maximum of 10 books.
- Books may be renewed twice after the initial checkout.
- Renewals are not permitted if the book is overdue or another patron has placed a "hold" request on the book.
- If a book is lost or damaged, the patron will be responsible for any charges assessed.
Shipping
- Qualifying distance learning students may request library materials to be mailed to their residence using the .
- If the requested material is available in electronic form, the patron will be notified and provided access to the digital version.
- Materials not shipped include reference books, print journals, leisure materials, and audiovisual materials (DVDs, CDs, audiobooks).
- The library will pay shipping costs to mail qualifying requested materials.
- A return label will be included. The student is responsible for paying return shipping and insurance.
- Books should be returned by the due date.
If you are mailing more than one book, please insure for more than $100. Wrap or box the books securely and mail them to:

B. Requesting Journal Articles
- To request copies of articles from magazines, journals, or newspapers owned by the library but not available electronically, use the .
- The method of delivery will be email; please provide your preferred email address for receiving articles as PDF attachments.
- Due to copyright restrictions, the library cannot copy an entire issue of any periodical.
- The library does not loan printed issues of periodicals.
C. Accessing Other Libraries
- Distance education students residing in Texas are eligible to receive a "TexShare" card for use at over 1,000 participating Texas libraries.
- that participates in the TexShare program.
- TexShare cards are issued only to currently-enrolled students who are in good standing and must be renewed each semester.
- Distance learning students may request a TexShare card to be mailed to their residence by contacting the library Circulation Manager at (254) 295-4637.
D. Interlibrary Loan
- Online journal articles not owned by the library may be requested directly through databases (“Request via Interlibrary Loan” link) or by filling out the on the library website. All ILL policies apply to distance learning students.
- Books not owned by our library may be available through the following options:
- Your local public library, most of which will provide Interlibrary Loan services at no charge.
- The database can show which libraries near you own the book; you may be able to borrow it directly from them via TexShare card (see “Accessing Other Libraries”).
- Books may be requested through our library’s ILL services via our online request form; however, books borrowed from other libraries cannot be shipped to distance learning students. ILL items must be picked up in person and returned by the due date, which varies depending on the lending library. Because of these limitations, this option is not recommended for distance learning students.
E. Online Databases
Townsend Memorial Library offers more than 180 subscription databases that provide access to thousands of articles from scholarly journals, magazines, newspapers, and other information sources. Many offer the full text of articles to read online or print from your computer.
Accessing databases requires using the university’s OneLogin authentication process. If you receive a login error, please contact InfoTech.
F. Assistance from a Librarian
- Distance learning students who need assistance with library research may use the “” button to submit questions via email, text, or chat, or to schedule an online consultation with a librarian. Students may also call the library at (254) 295-4637.
